Add URLs of digital assets, such as images, videos, and documents, in the URL fields.
You can preview digital assets that are images or display URLs for downloading or accessing digital assets from third-party services. The search results can also display thumbnails of digital assets associated with records.
Rules and guidelines for using URLs
Before you add URLs, consider the following rules and guidelines:
•Ensure that the URLs of digital assets you want to use for previews are publicly accessible.
•Ensure that digital assets for preview don't exceed 250 KB for optimal loading performance in the user interface.
•To search for records, use only the file names of digital assets that are in English, excluding their URLs. If the file names contain spaces, ensure that you enclose them within double quotes.
•To display a digital asset from SharePoint, ensure that you include the original path of the asset. When you open an asset in SharePoint, you can copy its original path by viewing file details.
