Re-import assets from an exported search results file

If you exported the results of a search, you can perform the following activities on the exported file and bulk re-import technical and business assets in Data Governance and Catalog:
After updating the exported file, you can re-import this updated Microsoft Excel file with your changes to Data Governance and Catalog.
Use the export search results file to share it with governance users and data scientists for review purposes before re-importing to the system, and also share the updated export files within the team or across other team to create awareness about all assets available within the organization. You can only export technical and business assets but cannot export collaborations, tickets, classification definition, or relationships in the export file.

Step 1. Exporting the search results in a Microsoft Excel file

You can search for assets and export the results of a search as a Microsoft Excel file in .xlsx or .xls file format.
You can export the search results only if your user role has the Export privilege for exporting search results. To import updated assets back in the catalog, ensure that your user role has the Import privilege. Both the Import and Export privileges are enabled by default for the Governance Administrator role.
Note:
Data Governance and Catalog triggers a faster import if you export up to 10,000 assets and don't include their relationships.
    1Enter a search query in the search bar.
    2Optionally, apply one or more filters to your search. You can additionally sort the search results.
    3On the Search Results page, click Action.
    The Action menu appears. The image depicts the Export option on the Search Results page.
    4Click Export.
    The Export Assets dialog box appears.
    The export dialog box. You can provide a name for the export file and choose to export different asset details and relationships in your export file.
    5On the Export Assets dialog box, enter a new file name or retain the system-generated file name.
    6Optionally, select the following options:
    7Click Start Export to export the results of your search.
    This triggers an export job that you can monitor on the Job Status panel.
    The Job Status page appears.

    Note:
    A Microsoft Excel export file can contain a maximum of 50,000 assets. If the export contains over 50,000 assets and you choose the Microsoft Excel file format, the downloaded file is compressed into a ZIP file format. If you choose the CSV file format for over 50,000 assets, the downloaded file contains all the assets in a single file.
    8After the export job is complete, click Download Export File.
    9Optionally, check the status of your export job on the Job Monitoring page.

Step 2. Modify the exported file

Download the Microsoft Excel export file containing the results of a search, and modify the exported file in order to enrich business and technical assets with additional information.
The format of the export files for business assets is similar to the bulk import template files. The export files contain a table of contents and one sheet each for assets of the same type. Each asset sheet has some columns where changes are restricted. You can add, delete, or modify values in the available fields before re-importing the file in Data Governance and Catalog.
The following guidelines apply if you want to modify the contents of an exported file:
Modify the exported file in one of the following ways:

Enrich assets in bulk

Enrich the exported technical assets with business context using the available fields in the exported file. For example, add or update the business names and descriptions of technical data sets and technical data elements. To enter a description for the assets while re-importing technical assets into the catalog, use the Description field of the exported file.
Note:
The values in the Business Description field is ignored during the re-import process. Copy the data from the Business Description field to the Description field before re-importing the file.
Create relationships between the technical and business assets. For example, associate data element to a business term.

Associate reference data with data elements in bulk

Modify the exported data elements to associate reference data with data elements from Reference 360. You can then import the exported file back to Data Governance and Catalog to make the association between the data elements and the reference data.
The following table describes the two columns in the template to associate reference data with data elements.

Curate assets in bulk

Use the exported technical data set and technical data element sheets to curate assets in bulk and re-import the file into Data Governance and Catalog.
The following ways describe how you can curate glossary and data classification recommendations for technical data sets and data elements:
Accept or reject system-generated glossary recommendations
The Glossaries: Recommended field contains the system-generated glossary recommendations for the assets. Use the Glossaries: Accepted or Glossaries: Rejected fields in the exported sheets to accept or reject a recommendation.
Accept or reject classifications
Use the following fields in the export sheets to accept or reject classifications:
Automatically assign business names and descriptions to technical data elements
You can choose to automatically assign business names and descriptions to the technical data elements. The system assigns the business name and description to the technical data element from either an accepted glossary or from a glossary in the catalog that isn't already rejected for the data element.
To automatically assign business names and descriptions to the technical data elements during glossary association, specify the value of the Automatic Assignment field as Enabled in the technical asset export sheet. In the Glossary: Accepted field, enter the name or reference ID of an accepted glossary that you want to use to assign a business name and description to the technical data element. To curate the technical data element with a glossary in the catalog which isn't already accepted for the data element, enter the name or reference ID of the glossary in the Business Name column.
To add a business name manually for the technical data element, select the Disabled value for Automatic Assignment field. If you don't specify a value for the Automatic Assignment field, the system considers the input value as Disabled.
The following guidelines apply if you choose to automatically assign business names and descriptions to the technical data elements:

Update generated classifications in bulk

The Generated Classifications: Recommended field of the technical data element sheet shows generated classifications for data elements. To reject the generated classifications that you don't wish to promote, use the Generated Classification: Rejected column of the technical data element sheet.
To bulk promote generated classifications to data element classifications, or demote already promoted data classifications, perform the following tasks:

Create or delete asset relationships in bulk

If you chose to include asset relationships in the exported file, you can create or delete relationships between business assets in bulk and re-import the file into Data Governance and Catalog.
The following table describes the columns that you can view in the exported file:

You can select one of the following options:
  • - Create. You want to create a relationship between assets.
  • - Delete. You want to remove a relationship between assets.

Step 3. Preparing to re-import the exported file

You can validate the business and technical asset types and map columns from the re-import file with respect to asset types and the asset properties imported to Data Governance and Catalog. Use the updated exported file to re-import business and technical assets to Data Governance and Catalog. The format of the updated exported file is same as the predefined import template file. Before you move to the next step, perform the following steps to verify that the mapping is correct:
    1In the New Import page, click Add Files.
    Select the re-import file of same or different asset types. Each sheet corresponds to an asset type.
    Note:
    You can also bulk import technical assets.
    Validate and map the re-import assets on the New Import page. The technical data sets do not have custom fields so the drop-down icon to map column is not enabled for technical assets after validating the technical assets sheet. The business assets can have custom fields so the drop-down icon is enabled, you can manually map the custom field with the respective field in the system. For example, see the following image, the Metric_Export.xlsx (business assets) row displays the drop-down icon to manually map the custom field with corresponding field in the system.

    2Verify, if the column header in the exported file corresponds to the correct field or column name in Data Governance and Catalog.
    From the New Import page, manually map the business assets custom field to the respective field by choosing the column name available in the system from the drop-down list.

Step 4. Re-importing the exported file

When the file is ready and you have mapped all the asset types and asset properties in the exported file with the corresponding asset types and asset properties in Data Governance and Catalog, you are ready to re-import the assets.

  1. 1On the New Import page, click Start Import.
  2. 2In the Start Import dialog box, enter the job name and select an Error Handling option. Image depicting the Start Import dialog box.
  3. The following table lists the Error Handling options:
    Error type
    Description
    Stop import on warning
    The system evaluates the data in the file. If the system encounters a row of data with warnings, the process stops, and no data is imported.
    Select this option if you want to import only data that has no warnings.
    Stop import on error
    The system evaluates the data in the file and ignores rows of data with warnings. If the system encounters a row with errors, the process stops, and no data is imported. If there are no rows with errors, the system imports valid data from the file, and warnings are marked as skipped.
    Select this option if you want to ignore the warnings and proceed with the import process. You can later download the report, correct the data with warnings, and re-upload the file.
    Skip errors and warnings
    The system imports all valid rows from the template. Rows of data with warnings and errors are marked as skipped.
    Select this option if you want the ignore the warnings and errors and proceed with the import process. You can later download the report, correct the warnings and errors for the data, and re-upload the file.
  4. 3To import the assets, click the Start Import.
  5. If the exported search results file has assets in review lifecycle status, such assets cannot be re-imported to Data Governance and Catalog. You cannot update or delete an asset in the in-review lifecycle status, assets that are only in the published and draft lifecycle status are re-imported to Data Governance and Catalog.
    The job is triggered. Click the corresponding job from the Job Monitoring page or Notification page to display the progress of the re-import file.

The re-import file is uploaded to the Data Governance and Catalog
