Glossary Administrator Tasks

You must configure the approval workflow before the data steward can use the approval workflow to publish Glossary assets.
Perform the following tasks before you configure the approval workflow:
  1. 1. Create and enable the associated Data Integration Service in the Administrator tool. Enable and configure the Workflow Orchestration Service properties in the Data Integration Service.
  2. 2. Identify the reminder time interval and escalation time interval.
  3. 3. Configure level 1 voters.
  4. 4. Identify approvers who will be part of the level 2 voting.

Approval Workflow Configuration

As a Glossary administrator, configure the approval workflow for a glossary. After you enable the approval workflow, the data steward must publish or reject all new assets in the glossary after the voting process.
The following table describes the properties for the Approval Workflow Configuration:
Property
Description
Default Approvers
Assigns content managers of the Glossary asset. The content managers that you specify here are the default approvers in level 1 during the advanced approval workflow. You can select the stakeholders and owners of the asset and data stewards of related business terms as content managers.
Enable Voting for Asset Changes
Enables or disables the approval workflow. After you enable this option, the default approvers that you configured are part of the level 1 approval process.
Settings for Level 1 Approvers
Sets the reminder time and escalation interval for the approval workflow for level 1 approvers. The Voting Reminder Before End Time must be greater than Escalation Interval Before End Time.
Enable Level 2 Voting
Enables or disables level 2 approval.
Approvers
Configures approvers that are part of the level 2 approval for all the assets in the glossary.
Settings for Level 2 Approvers
Sets the reminder time and escalation interval for the approval workflow for level 2 approvers. The Voting Reminder Before End Time must be greater than Escalation Interval Before End Time.

Configuring the Approval Workflow

As a Glossary administrator, configure the approval workflow for a glossary after you save the glossary. You can enable the approval workflow for a glossary when there are no assets from the glossary in the In Review phase. After you enable the asset approval workflow, all assets in the glossary must go through the voting process.
    1. Open the glossary where you want to configure the approval workflow.
    2. Click Edit to edit the glossary.
    3. Click the Asset Approval Configuration panel.
    4. Select the default approvers for the asset.
    5. Select Enable Voting for Asset Changes to enable voting.
    Options to configure settings for the level 1 approvers appear.
    6. In the Settings for Level 1 Approvers, configure the settings for the voting reminder and escalation reminder. You cannot change these settings later.
    7. Optionally, select Enable Level 2 Voting to enable a second level of approval.
    8. Add level two approvers.
    9. Configure the voting reminder and escalation reminder for level 2 approvers. You cannot change these settings later.
    10. Choose to save the glossary.

Disabling the Approval Workflow

As a Glossary administrator, you can disable the approval workflow when there are no assets from the glossary in the In Review phase. After you disable the asset approval workflow, the assets in the glossary do not go through the voting process.
    1. Open the glossary where you want to disable the approval workflow.
    2. Click Edit to edit the glossary.
    3. Click the Asset Approval Configuration panel.
    4. Deselect Enable Voting for Asset Changes to disable voting.
    Options to configure settings for the level 1 approvers appear.
    5. Choose to save the glossary.
