Business assets allow you to describe why you use the data, where you use the data, and how you use the data to make business decisions. Business assets provide context to your data using relationships with other business assets and by using simpler representations of technical data.

Creating assets and assigning stakeholders
Assets in Data Governance and Catalog represent data elements in your data stores. Create an asset and enter properties that add technical or business context to the data elements.
The following prerequisites apply if you want to create assets and add stakeholders for business or technical assets:
•The organization administrator must grant you the Create permission for the asset through access policies in Metadata Command Center.
•To assign stakeholders to the asset, the organization administrator must grant you the Manage Access permission on the asset through access policies in Metadata Command Center.

Note:
When you create a business asset in
Data Governance and Catalog
, the default values for custom attributes are not pre-populated, and the fields are blank. This applies to optional and mandatory attributes. If there is a mandatory attribute, the user must specify a value for the asset creation to be successful. Additionally, it is recommended to define default values for custom attributes when they are associated with technical assets.
To create an asset and assign stakeholders, perform the following steps:
1Go to the Home page, and click New.
2In the New dialog box, select the asset type that you want to create.
3On the new asset page, populate the mandatory properties on the asset. For more information about the properties for each asset type, see the Understanding Business Assets help.
The following table shows the properties on the asset:

Name
Required. Name of the asset.
Parent
Optional. The parent asset for the open asset. Click the action menu to select the parent asset. The Parent dialog box displays only the asset types that are applicable to be added as a parent for the open asset. For more information, see the Parent-child relationships topic in the Asset Discovery help.
Description
Optional. Description of the asset. You can also add images that are less than 1 MB.
When you create a glossary business asset, you can manually enter a description or leverage CLAIRE to generate a description. To use CLAIRE to generate a description, click the Generate with CLAIRE icon. You can specify the industry context in which you want CLAIRE to generate the description, and also specify the length of the generated description.
Note:
CLAIRE uses the asset name to formulate a description. Before you use CLAIRE to generate a description, ensure that you specify a name for the asset.

Reference ID
Optional. Unique identifier that you can provide for the asset. If you do not provide the reference ID, the system automatically generates a reference ID for the business asset. For more information on reference ID for business assets, see Working with reference IDs for business assets.
Alias Names
Optional. Alternative name for the asset. Enter synonyms of the asset that are commonly used in your organization.
4To assign stakeholders to the asset, click the Add icon in the Stakeholders section.
5In the dialog box that opens when when you click Add, select a role, and then select the users or user groups that you want to add as stakeholders to the asset. Click OK.
6Click Create. The asset is created in the Draft state.
7Click Submit to start the workflow defined for the asset.
The system creates a ticket for the asset and notifies the stakeholders. For more information about workflows, see Workflows and tickets.
Working with reference IDs for business assets
The reference ID is a unique identifier assigned to every business asset. It comprises of a prefix, a separator, and a value. For example, a policy asset can have the reference ID 'POLIC-123'. Here, 'POLIC' is the prefix, '123' is the unique policy value, and the hyphen '-' is the separator.
For each business asset type, the prefix values are pre-configured and provided by default in Metadata Command Center. If you want to modify the prefix value for any asset type, the organization administrator must assign the Manage System Settings feature privilege to your user role for the Metadata Command Center service in Administrator.

Enter your own reference ID
If you are a data owner or a business user, then you can create or modify an asset. The Reference ID field is optional. You can choose to specify a reference ID or leave the field blank. If you specify a reference ID, do not enter the prefix defined in Metadata Command Center. The prefix is reserved for reference IDs that are automatically assigned to assets. You can instead enter any combination of alphanumeric or special characters. To quickly check the prefix that is defined, click the tooltip of the Reference ID field.
For example, if the prefix for Policy assets is defined as 'POLIC' in Metadata Command Center, do not enter POLIC-20 as the reference ID. Instead, you can enter POL-20 , PolicyHR or Pol20 as the reference ID. The system will save your reference ID correctly.
Automatically assign a reference ID
The reference ID is an optional field. If you do not specify a reference ID when you create or modify an asset, Data Governance and Catalog automatically assigns a reference ID according to the prefix defined in Metadata Command Center.
For example, if you leave the Reference ID field blank for a Policy asset, the system might automatically assign the 'POLIC-21' reference ID to the asset.
Modify a reference ID
To modify a user-provided reference ID or auto-generated reference ID, open the asset page, go to the Overview tab and edit the reference ID on the Attributes pane. After modifying the reference ID, save the changes.
Reference ID for bulk imported assets
The same guidelines apply for bulk imported assets. If you choose to specify a reference ID in a bulk import template, do not enter the prefix defined in Metadata Command Center. If you leave the Reference ID column blank for an asset, the system will assign a reference ID automatically.
Manual data element
A manual data element is the business representation of data that may not be available in the catalog but is essential to capture for governance purposes in your organization.
A manual data element represents a data element that the business understands or consumes which may not directly translate to a technical data element. Manual data elements are not found in catalog sources and, therefore, their metadata is not extracted.
If you are a business user, you can manually create a data element within a data set. A data set can either have technical data elements or manual data elements or a combination of both. Although a manual data element is a type of business asset, it exists in a business data set and not as a standalone business asset. You can associate a manual data element with one business data set only.
If you want to create a large number of manual data elements, consider creating a custom catalog source for all the manual data elements in Metadata Command Center and scan the catalog source. You can also create a manual data element through API and bulk upload.
You can create a manual lineage between the manual data element and other assets to visually represent the complete flow of data between catalogued and non-catalogued assets. For more information about manual lineage, see the Lineage types topic in the Asset Discovery help.
Creating a manual data element
Create a manual data element that represents a data that may not be available in the catalog but is essential to capture for governance purposes in your organization. Enter properties that add technical or business context to the manual data element.
To create a manual data element in a business data set, perform the following steps:
1Open a business data set in Data Governance and Catalog.
2Select the Contains tab, and click the Add icon. Select Create Manual Data Element option.
The New Manual Data Element dialog box opens.
3Enter all the mandatory field values, and click Create.
You have successfully created a manual data element.
Note:
You cannot create a manual data element with the same name within a single data set. However, you can create a manual data element with the same name across different data sets.
4Go back to the business data set, select the Contains tab, and click the Refresh icon.
The manual data element that you created appears along with other technical data elements in the business data set.
Note:
You cannot add stakeholders for a manual data element. Stakeholders are automatically inherited from the parent data set.
