An order is a request made by a Data User to gain access to a data collection. A Data User's order is reviewed by the stakeholders of the data collection who are responsible for the approval and fulfillment of the order.
View order details
On an order page, you can view details of the ordered data collection. You can also view the date on which the order was created and the latest date on which the order was modified.
The following image shows an order summary page:
Prerequisites
To view an order, verify one of the following prerequisites:
- The order was created by you and your user profile is assigned at least one of the predefined roles for Data Marketplace. For more information about the predefined roles for Data Marketplace, see the Predefined roles topic in the Introduction and Getting Started help.
- Your user profile is assigned one of the following user roles:
▪ Technical Administrator
▪ Data Marketplace Administrator
- You are either an inherited or specifically assigned stakeholder with one of the following stakeholder roles on the ordered data collection:
▪ Data Owner
▪ Technical Owner
▪ Category Owner
- You are assigned as a stakeholder on the ordered data collection and your user profile is assigned a role for which the following privileges and permissions are enabled:
▪ Access Data Marketplace privilege is enabled in Administrator.
▪ Approve or Reject Orders or Fulfill Or Reject Orders privilege is enabled in Administrator.
▪ Read permission is enabled in Metadata Command Center for data collections, delivery targets, orders, terms of use and usage contexts.
Timeline section
In the Timeline section, you can view a summary of the actions and comments that users have made on the order, along with the timestamp of each action or comment.
Data collection section
In the data collection section, you can view the details of the ordered data collection. To view more details of the data collection that is ordered, hover your cursor over the data collection details section.
Delivery section
The following table describes the fields that you can view in the Delivery section:

Default Delivery
The default delivery target of the ordered data collection.
Delivery Requests
Additional information that pertains to the delivery of the data, as specified by the Data User.
Type
The delivery type. This field can have the following values:
- Manual. Stakeholders of the data collection must approve and fulfill the order manually.
- Automatic. The order approval and fulfillment is automated.
Additional Information section
In the Additional Information section, you view the additional information specified by the Data User at the time of order. The properties that you see in this section are defined by your Administrator in Metadata Command Center. For more information, see the Create custom attributes for objects topic in the Set Up Data Marketplace help.
Terms of Use section
In the Terms of Use section, you can view the terms of use that apply to the data collection.
Stakeholders section
In the Stakeholders section, you can view the names of the stakeholders that responsible for the ordered data collection.
View orders
On the History page, you can view all the orders placed in Data Marketplace.
To view the orders for data collections on the History page, verify one of the following prerequisites:
•Your user profile is assigned one of the following user roles:
- Data Owner
- Technical Owner
- Category Owner
- Technical Administrator
- Data Marketplace Administrator
•You are assigned as a stakeholder on a data collection and your user profile is assigned a role for which the following privileges and permissions are enabled:
- Access Data Marketplace privilege is enabled in Administrator.
- Approve or Reject Orders or Fulfill Or Reject Orders privilege is enabled in Administrator.
- Read permission is enabled in Metadata Command Center for categories, data collections, orders and usage contexts.
1Open the History page.
2On the History > Orders tab, you can view the order details.
The following table describes the fields that you can view in the Orders grid:

Order
Reference identifier for the order.
Consumer
Name of the Data User that ordered the data collection.
Ordered
Date on which the data collection was ordered.
Data Collection
Name of the ordered data collection.
Business Justification
The reason for the requirement of access to the data provided by the Data User at the time of order.
Category
Name of the category that contains the ordered data collection.
Usage Context
The context within which the data is used as specified by the Data User at the time of order.
Status
The status of the order. An order can have one of the following statuses:
- Pending Approval. The order is pending for approval with a stakeholder of the ordered data collection.
- Access Rejected. The order is rejected by a stakeholder of the ordered data collection.
- Fulfillment Stage. The order is approved for fulfillment. A stakeholder of the ordered data collection must deliver the data to the Data User.
- Order Fulfilled. The ordered data is delivered to the Data User.
- Order Cancelled. The order is cancelled by the Data User.
Assigned To
The delegate of the order. This field can have one of the following values:
- Me. The order is assigned to you.
- My Group. The order is assigned to your group.
- All. The order is assigned to a user or group whose information is accessible to you.
To filter the orders that are displayed in the Orders grid, click Filter and select the filter that you want to use. After you configure the filter, click Filter again to curate the grid based on how you configured the filter. For example, if you want to view only the orders that are fulfilled, click Filter and select the Status filter. In the Status filter, select the Order Fulfilled status and click Filter again to apply it. After you apply the filter, the Orders grid displays only the orders that are fulfilled.
3To view the details of an order, click the order ID in the Order column.
4To view the details of an ordered data collection, click the data collection name in the Data Collection column.
Responding to orders
When a Data User orders a data collection, you can approve or reject the order.
To perform this task, verify one of the following prerequisites:
•Your user profile is assigned the Data Marketplace Administrator user role.
•You are either an inherited or specifically assigned stakeholder with one of the following stakeholder roles on the ordered data collection:
- Data Owner
- Category Owner
•You are assigned as a stakeholder on the ordered data collection and your user profile is assigned a role for which the following privileges and permissions are enabled:
- Access Data Marketplace and Approve or Reject Orders privileges are enabled in Administrator.
- Read and Update permissions are enabled in Metadata Command Center for cost centers, data collections and orders.
- Read permission is enabled in Metadata Command Center for categories and usage contexts.
1Open the Tasks page.
2On the Tasks > Approve tab, you can view the orders for all the data collections that await your action.

For example, if you want to view only the orders that were placed this month, click Filter and select the Ordered filter. In the Ordered filter, select This month and click Filter again to apply it. After you apply the filter, the Orders grid displays only the orders that were placed this month.
To view the details of an order, click the order ID in the Order column. To view the details of the data collection that is ordered, click the data collection name in the Data Collection column.
3To respond to an order, click the Action menu to reveal the following options:
- To approve the order, click Approve.
The following table describes the fields that you can configure in the Approve Access Request dialog box:

Ordered
Date on which the data collection was ordered.

Data Collection
Name of the ordered data collection.

Note: You cannot modify this field.
Cost Center
Select the cost center of the Data User that placed the order.
If the Data User has entered a cost center value that is not available in Data Marketplace or if the Data User has selected an incorrect cost center value, you can modify the value of this field.
Comment
Enter a comment to explain the reason behind the action taken.
To add a comment, click Comment. To tag a user to your comment, add @ to populate the list of users. You can use either the name of the user or the user's email address to search for them.
Note: Ensure that the user you tagged is assigned at least one of the predefined roles for Data Marketplace. For more information about the predefined roles for Data Marketplace, see the Predefined roles topic in the Introduction and Getting Started help.
Alternatively, ensure that their user profile is assigned a role for which the following privileges and permissions are enabled:
- Access Data Marketplace privilege is enabled in Administrator.
- Read permission is enabled in Metadata Command Center for orders.
Without the aforementioned privileges and permissions, they won't be able to access your comment despite receiving the notification for it.
If your Administrator has configured in Metadata Command Center custom attributes for orders in Data Marketplace, the Approve Access Request dialog box will display additional fields. If required, you can modify the values in these custom fields that the Data User entered at the time of order. For more information, see the Create custom attributes for objects topic in the Set Up Data Marketplace help.
- To reject the order, click Reject.
The following table describes the fields that you can configure in the Reject Access Request dialog box:

4Alternatively, you can respond to an order from the order page. To do this, click an order ID in the Orders grid of the Tasks > Approve tab. In the Timeline section of the order page, you can approve or reject the order.
aTo approve an order, click Approve.
bTo reject an order, click Reject.
cOptionally, you can use the Add Comment field to explain the reason behind the action taken.
If you approve an order, a stakeholder of the data collection delivers the data collection to the Data User. For more information about order fulfillment, see Fulfilling orders.
Fulfilling orders
As a stakeholder of the data collection, you can deliver the data for orders that are approved for fulfillment.
To perform this task, verify one of the following prerequisites:
•Your user profile is assigned one of the following user roles:
- Technical Administrator
- Data Marketplace Administrator
•You are either an inherited or specifically assigned stakeholder with the Technical Owner stakeholder role on the ordered data collection.
•You are assigned as a stakeholder on the ordered data collection and your user profile is assigned a role for which the following privileges and permissions are enabled:
- Access Data Marketplace and Fulfill Or Reject Orders privileges are enabled in Administrator.
- Create and Read permissions are enabled in Metadata Command Center for consumer accesses.
- Read and Update permissions are enabled in Metadata Command Center for cost centers, data collections and orders.
- Read permission is enabled in Metadata Command Center for categories, delivery targets and usage contexts.
1Deliver the data to the Data User.
Perform this step outside the Data Marketplace environment. For example, you can provide access to a database or send a data file by email.
2After you deliver the data, open the Tasks page.
3On the Tasks > Fulfill tab, you can view the orders that are approved for fulfillment.

To view the details of an order, click the order ID in the Order column. To view the details of the data collection that is ordered, click the data collection name in the Data Collection column.
4In the Order column, click the order that you want to fulfill.
5In the Timeline section of the order page, click Fulfill.
The following table describes the fields that you can configure when you fulfill an order:

Delivery Target
Select the delivery target that you used to deliver the data.
If the data collection doesn't have a delivery target or if none of the delivery targets meet the Data User's requirements, you can create a new delivery target. For more information about how you can create a new delivery target, see Specifying delivery targets for data collection.
If you want to ensure that the data that is to be delivered is customized based on the characteristics of the data, the Data User and the usage context that they specified in the order, you can use a delivery target for which the Managed Access option is enabled. For more information, see the Manage access to data with Data Access Management topic in the Set Up Data Marketplace help.
Add Comment
Enter a comment about the data delivery.
To tag a user to your comment, add @ to populate the list of users. You can use either the name of the user or the user's email address to search for them.
Note: Ensure that the user you tagged is assigned at least one of the predefined roles for Data Marketplace. For more information about the predefined roles for Data Marketplace, see the Predefined roles topic in the Introduction and Getting Started help.
Alternatively, ensure that their user profile is assigned a role for which the following privileges and permissions are enabled:
- Access Data Marketplace privilege is enabled in Administrator.
- Read permission is enabled in Metadata Command Center for orders.
Without the aforementioned privileges and permissions, they won't be able to access your comment despite receiving the notification for it.
Cost Center
Select the cost center of the Data User that placed the order.
If the Data User has entered a cost center value that is not available in Data Marketplace or if the Data User has selected an incorrect cost center value, you can modify the value of this field.
6To reject a fulfillment request, click Reject.
When you fulfill an order, a consumer access record is created. For more information about consumer accesses, see Consumer accesses.
