Participate in workflows

You can participate in workflows if you are a stakeholder for an asset. The organization administrator must provide you the relevant permissions for an asset so that you can create or modify an asset and approve or reject a workflow request.

Starting a workflow

If you create or modify an asset for which the organization administrator has configured a workflow, you must start the workflow by sending the asset for approval. When you start the workflow, Data Governance and Catalog creates a new ticket for the asset.
The following conditions apply if you want to start workflows in Data Governance and Catalog:
    1Create or modify the asset, and click Save. For more information about creating assets, see Creating assets and assigning stakeholders.
    If the organization administrator has configured a workflow for the asset, the Submit button appears.
    2Click Submit to start the workflow.
    Note: If the workflow specifies a user role, and you are one of the many users that have the role, you must click Claim to claim the asset before you can start the workflow.
    The New Ticket dialog box appears.
    3To create a ticket, enter the properties of the ticket in the New Ticket dialog box. The properties you enter provide the context of the ticket to other participants of the workflow.

    4Click Submit to start the workflow.
    Note: If you have an existing ticket for an asset, the ticket is displayed in the Tickets tab of an asset or it appears when you edit the asset and send for review. The ticket provides the context of the change to other participants in the workflow. You can modify the Severity, Urgency, and Description fields of the ticket. For more information about creating a ticket for an asset, see Creating a ticket.

The Lifecycle value of the asset changes to In Review. The system starts the workflow associated with the asset and notifies the user that is defined next in the workflow. You can go to the Tickets tab to view and track the ticket that you have just created.

Participating in an ongoing workflow

If the Metadata Command Center administrator has defined your user role as a stakeholder in the workflow of an asset type, you can participate in the progress of the ticket.
In Application Integration, the administrator must define a dedicated input field for stakeholder assignment in the Start step of the process and map the 'Stakeholders' task role with the allStakeHolders input field for each human task configured in the process.
In Metadata Command Center, assign the 'All Stakeholders' role to any of the input fields to ensure that associated stakeholders can view ongoing workflow tasks. The 'All Stakeholders' role allows you to dynamically assign the stakeholders of a human task. Based on the roles you select in Metadata Command Center, ongoing tasks are visible to the respective stakeholders after the tasks are generated.
    1The Notifications area displays your approval task. Click on notification to open a ticket.

    2Alternatively, click the Workflow Inbox icon in the Browse By section of the Home page.

    3In the Workflow Inbox window within the Open Tasks tab, click the Claim button to claim and participate in the ticket workflow instead of another stakeholder.
    Note: The Claim button appears if there are multiple stakeholders for the ticket.

    4To proceed with the approval workflow, click one of the action buttons to take action on the ticket.

    Note: If you choose to reject the change, the draft copy of the asset may be retained or discarded. This result is determined by the Metadata Command Center administrator in the workflow configuration for the asset type.
According to the workflow that the organization administrator has defined, the ticket moves to the next step. If the workflow is still in progress, the next participant in the workflow receives a notification. If the workflow reaches a terminal state, the workflow is complete.

Participating in an ongoing ticket

If you receive a notification about participating in the workflow of an ongoing ticket, perform the following steps to take an action on the ticket:
    1The Notifications area displays your approval task. Click on notification to open a ticket.

    2Alternatively, click the Ticket Manager icon in the Browse By section of the Home page.

    3From the Ticket Manager window, select and open the ticket for which you want to participate.
    4In the ticket Approval Request for Change window of the asset, click the Claim button to claim and participate in the ticket workflow instead of another stakeholder.
    Note: The Claim button appears if there are multiple stakeholders for the ticket.

    5To proceed with the ticket approval workflow, click one of the action buttons to take action on the ticket.

    6Alternatively, you can participate in the ticket approval workflow by performing the actions in the preview pane of the ticket page or asset page.
    To perform ticket workflow actions from the ticket page, do the following:
    1. aClick the Show Details icon to view the ticket preview pane.
    2. bSelect the required action from the Task Actions list.
    3. Note: You can see the Approval section and perform workflow actions only if you are a stakeholder for the ticket or if the ticket is assigned to the you.

    To perform ticket workflow actions from the asset page, do the following:
    1. aSelect a required asset and open the asset page.
    2. bClick the Tickets tab to display the list of all open and overdue tickets associated with the asset.

      The Tickets tab displays some basic information about each ticket.
    4. cClick the Show Details icon to display the ticket preview pane.
    5. The ticket preview pane has Approval section that displays the number of open tickets and pending tickets. Open tickets indicate tickets pending in progress to track changes to the assets. Pending tickets indicate tickets beyond the due date that require your action.
      The ticket preview pane has ticket details such as workflow, description, assets, changes, severity, urgency, and user who created the ticket.
      Note: You can view the Approval section, only if you are a stakeholder for the ticket or if the ticket is assigned to the you.
    6. dSelect the required action from the Task Actions list to participate in the ticket approval workflow.
    To perform ticket workflow action from the Tickets page, do the following:
    1. aTo view tickets on the Tickets page, click the header of the Tickets widget.
    2. The Tickets page appears.
    3. bSelect an open ticket on the grid and click Resolve or Cancel from the grid or preview pane.
    4. If you click Resolve, the Resolution dialog box appears. Alternatively, if you click Cancel, the Cancel ticket dialog box appears. Enter the field values to perform ticket actions.

According to the ticket workflow that the organization administrator has defined, the ticket moves to the next step. If the ticket is still in progress, the next participant of the ticket receives a notification. If the ticket reaches a terminal state, the ticket is complete.
