Manual Data Element

A manual data element is the business representation of data that may not be available in the catalog but is essential to capture for governance purposes in your organization. As a business user, you can manually create a data element within a data set. A data set can either have technical data elements or manual data elements or a combination of both. Although a manual data element is a type of business asset, it exists in a business data set and not as a standalone business asset. You can associate a manual data element with one business data set only.
The following table describes the columns where you must enter asset values for manual data elements:

Reference ID
Optional
Reference ID is the unique reference identifier for the asset. If you don't specify a reference ID, the system automatically assigns a unique value to the object.
The identifier that you enter here appears in the Reference ID field on the user interface.
The system uses the following format to generate a reference ID:
<Prefix>-<Number>
Example: ‘AI-1’, ‘DS-10
If you specify a reference ID, ensure that the value that you enter doesn’t use the format that is used by the system to automatically generate reference IDs.
Type of Entry: Alphanumeric characters, including spaces and special characters. There is no limitation on special characters to be used in names.
Example: ‘BT ID-18’, ‘SYS REF:98
Name
Required
Name for the asset. Consider entering a unique name so that you can distinguish this asset from other assets.
Type of Entry: Alphanumeric characters, including spaces and special characters. There is no limitation on special characters to be used in names.
Example: ‘Model 1’, ‘Model Name: 29’, ‘System Name
Description
Optional
Definition of the asset. The description appears in the asset page.
You can enter a detailed description of the asset so that users can understand how it is used in your governance context.
Type of Entry: Formatted text.
To add an image to the description, use the following syntax:

You can add only an image of Base64 format to the description. Other image formats are not supported.
Data Element Classification

Name for the Data Element or Data Entity Classification that you want to associate with the asset. Consider entering unique data element or data entity classification so that you can distinguish between different classifications.
Type of Entry: Alphanumeric characters, including spaces and special characters such as -, _, /,\, &, (, ), ., #, +, * and %.
To specify multiple values, enter the values in the same row and use a semicolon to separate each value.
Example: First Name, BA Name: 29
You can delete data element classifications associated with a manual data element using the bulk import template for manual data elements. Append DELETE: before the data element classifications that you want to delete.
Example: DELETE:Data Element Classification1;DELETE:Data Element Classification2
You can also add new data element classifications with a manual data element using the bulk import template for manual data elements. Add the new glossary after you append DELETE:Data Element Classification1
Example: DELETE:Data Element Classification1;Data Element Classification2
Glossaries
Optional
Enter the name or the Reference IDs of the glossaries that you want to associate with the manual data element.
To enter multiple values, use a semicolon to separate each value.
You can delete glossaries associated with a manual data element using the bulk import template for manual data elements. Append DELETE: before the glossaries that you want to delete.
Example: DELETE: Glossary1;DELETE: Glossary 2
You can also add new glossaries with a manual data element using the bulk import template for manual data elements. Add the new glossary after you append DELETE:Glossary1
Example: DELETE:Glossary1;Glossary 2
Lifecycle
Optional
Lifecycle status of the asset. The default status is Published.
You can select one of the following options:
  • - Published. Typically used when an asset has been reviewed and accepted by stakeholders and is ready for use by the wider organization.
  • - Obsolete. Typically used when a business asset is no longer in use. Once an asset is in the Obsolete status, the only other status change allowed is Published.
System

Enter the reference ID or the name of the System asset that is the parent of the asset that you specified in the Parent: Data Set field.
If in the catalog source, multiple business Data Set assets have a similar names, consider specifying the System asset to help distinguish the parent business Data Set asset that you specified from the other assets.
Ensure that you specify only one parent System asset.
Operation
Required
Select an operation for the asset.
You can select one of the following options:
  • - Create. You want to create the asset.
  • - Update. You want to modify an existing asset. In this case, the Reference ID column is mandatory, along with the columns that you want to modify. For example, if you want to modify the Lifecycle of an asset, you must enter the Reference ID and Lifecycle values, but you don't need to specify values for the other fields, including the fields that are marked as mandatory.
  • - Delete. You want to delete an existing asset. In this case, the Reference ID is the only column that is mandatory. You don't need to specify values for any field, including mandatory fields. Before you delete an asset, ensure that you have removed or deleted all associated relationships and parent-child relationships of the asset.
Parent: Data Set
Required
Enter the reference ID or the name of the parent Data Set asset.
Ensure that you specify only one parent business Data Set asset.
Reference Data
Optional
Associate reference data from Reference 360 with the manual data element by entering the path of the code list attribute from Reference 360. You can associate only one code list attribute with a manual data element.

Referenced Glossary
Optional
Enter the name or reference ID of a Glossary asset that is associated with reference data. The reference data that is associated with the Glossary asset gets associated with the manual data element.
You can specify only one Glossary asset.
